Hey, this is Dan Lok. If you don’t know me, we have generated over a hundred million dollars in coaching and digital course sales and growing rapidly. Now, today I got a question from my community and that is how to get your virtual assistant up to speed fast. Now, I remember I hired my first assistant, not even virtual assistant, many, many, many, many years ago in my early twenties. And her name is Macy. And I didn’t know what I was doing. I’ve never hired an assistant and I don’t even know what am I supposed to do? What kind of task I should give her. But I thought, Hey, I’m getting very, very busy. I need someone to do a min kind of work. So I didn’t know what I was doing. And I didn’t do any interview by the way, it was just a referral from a friend. And I thought, hey, she seems nice.
She seems okay. She seems to be organized. Maybe she could help me. And it turned out to be okay, you know, knock on wood. It turned out to be okay. And that’s my first experience of kind of working with an assistant. And now if you are thinking about hiring your first virtual assistant, what are some of the things that you should consider and how do you get him or her up to speed? I’m gonna give you three tips today. Number one, before you hire that person, you should list all the responsibilities and all the task and all the things that are sucking up your time. What exactly do you want him or her to help you accomplish? I know this sounds so simple, but almost no one else does it by having a clearly defined role, right? By having those lists. Now, when you sit down with your VA, Hey, here are the things that I need help with.
And they will look at that and say, okay, this is great. This is what we could do. Number two. Now you have given them the list. Here’s the mistake that I’ve made in the past. I thought I would just hire somebody and I dump everything onto them and they make mistakes. I get frustrated. I yell at them and then they quit. I am not setting them up for success, especially if this is your first kind of virtual assistant, you are learning how to work with people. You’re learning how to delegate as well. Yes. So what you should do is to not micromanage, but let them shadow you a bit for the first 30 to 60 days. And that has worked very well for me over the years. Right? Very simple. So you hire the person, not just dumping everything onto the desk, but more so, Hey, here’s how we do it.
Let’s say here’s how I reply emails. Here’s how I communicate right here, how I do this task. So let them shadow your bit. So they’re working with you and not just here you go. No, they’re kind of working with you. They get a sense of your style. They get a sense of how you do things. They get a sense of your culture. That’s shadowing, period, 30, 60 days. I found that extremely important. And tip number three is everything that you are training them to do, cuz let’s face it. This first virtual assistant may not work out. Or if you are growing, this will not be the last assistant that you would hire. Correct. So what you should do is all the training that you are providing, maybe the one on one coaching, maybe in terms of how to log in and how to do certain things, make sure that you’ll record all of them, right?
That’s what I do. We record all these things. I put them in Kajabi. We have a Team Dan Lok members area for my internal team within Kajabi. So any new members, they would go through these things. So that the next time I don’t have to train them again. And again and again in person now they will still shadow my team, but they already know how to do these things just by watching videos and tutorials that we have created in the past. So if you want to get your virtual assistant up to speed, number one, having a clearly defined role, what are the responsibilities? Number two, let them shadow you 30 to 60 days. And number three, create all your trainings. Record them, put them in some sort of membership area. So then for the next person, you don’t need to start from scratch.
